Financial & Tax (F&T) Service Coordinator
Location: Spain – Office-Based (with potential for hybrid or remote working)
Hours: Full-time – 37.5 hours/week
Reports to: F&T Managing Consultant
Salary: Competitive, based on experience + service and performance related bonus
Role Purpose
Aside from providing expert support to individuals relocating to Spain, we offer with important financial and tax (F&T) planning consultancy. Our in-house F&T team OLS Legal Financial Tax provides essential guidance on tax residency, cross-border financial and retirement planning — helping clients navigate the complexities of change of country of residence with clarity and confidence.
The F&T Service Coordinator plays a dual role in both administrative support and opportunity identification within our Financial & Tax planning services. Working closely with the relocation and visa service teams, this role acts as the first line of response for clients and prospects who raise financial or tax-related queries. While not providing advice, the Coordinator is responsible for answering basic questions, offering general guidance, and recognising when a client may benefit from a consultation with an F&T Planning Consultant.
Most enquiries come from clients already engaged with our visa, residency, or relocation services. The Coordinator’s role is to support these clients early in their journey, helping them understand the importance of proper planning, and lining up structured next steps with our in-house advisory team. Alongside this, the Coordinator manages the administrative process for onboarding F&T clients and supports the consultants in delivering a smooth and compliant service.
Key Responsibilities
1. Enquiry Handling & Opportunity Development
– Respond promptly and professionally to initial F&T-related enquiries from clients and prospects.
– Answer basic general questions about Spanish tax frameworks, planning considerations, and typical financial issues faced by relocating clients (without offering advice).
– Identify potential F&T planning needs based on the client’s circumstances or questions.
– Proactively engage clients already using visa or relocation services to introduce relevant financial/tax topics and initiate discussions.Answer basic general questions about Spanish tax
– Schedule consultations or discovery calls with F&T Planning Consultants and prepare background note
– Maintain accurate records of enquiries, touchpoints, and follow-up actions in the CRM.
2. Scheduling & Consultant Support
– Schedule meetings between clients and F&T consultants.
– Prepare relevant documentation and client files ahead of meetings.
– Update consultants and advisers on client status, documentation received, and pending actions.
3. Client Onboarding & Administration
– Coordinate the onboarding of new F&T clients.
– Send and manage completion of application forms, fact-finds, declarations, and service agreements.
– Request and track all KYC (Know Your Customer) documentation and identity verification requirements.
– Follow up on outstanding items with clients via email and phone as needed.
4. Record Management & CRM
– Maintain accurate and up-to-date client records in the CRM system.
– Log communications, document uploads, service milestones, and task status.
– Support F&T consultants by preparing summaries or checklists of client files.
5. Compliance & Internal Coordination
– Ensure that all regulatory, GDPR, and compliance requirements are followed during onboarding and document handling.
– Collaborate with the F&T Managing Consultant and relocation teams to ensure a coordinated client experience.
– Support report generation, client pack preparation, and tracking of service progress.
6. Operational Support
– Help maintain document templates, internal checklists, and onboarding workflows.
– Liaise with external service providers (e.g., tax advisors, financial institutions) to facilitate next steps as directed by consultants.
– Provide general administrative support to the F&T department and contribute to service efficiency improvements.
Required Skills & Experience
– Strong administrative and organisational skills
– Excellent attention to detail and accuracy
– Fluent English (Spanish is an advantage)
– Comfortable using CRM systems, spreadsheets, and document management tools
– Discretion and professionalism when handling sensitive financial and personal data
– Ability to manage multiple administrative workflows simultaneously
– Experience in financial services, tax administration, legal admin or relocation services preferred
Ideal Candidate

While not essential, a background working in financial planning will be advanteageous.
