Part-Time Office Administrator
Location: UK – Milton Keynes – Office-based
Hours: Temp to Perm – min 20 hours per week
Reports to: Administration Controller
Role Purpose
Our Office Administrators provide essential back-office support to the visa/residency and Financial & Tax Planning (F&T) teams, helping to ensure smooth service delivery through accurate and timely administrative assistance. The role involves document management, CRM updates, and general administrative duties that support client progress behind the scenes.
A key aspect of this role is the preparation and coordination of documents for visa applications, financial services, and for legalisation and certification. This requires liaising with translators notaries and other external service providers as required. Administrator plays a critical part in keeping workflows on track and ensuring that required documents are handled, processed, and dispatched correctly and on time.
This is a non-client-facing role, suited to someone detail-oriented, reliable, and confident managing documents and digital systems in a structured environment.
Key Responsibilities
- Support the Administration Controller by completing general clerical and administration tasks including document processing
- Prepare batches of documents for legalisation
- Take and collect documents to and from the legalisation office (FDCO)
- Responding to internal email and messages, occasional communicate with clients by email.
- Check client documents and fill in application forms
- Carry out a small amount of phone-based contact from time to time, primarily with external service provide
- Support with client-facing administration (e.g. document scanning, uploading, printing, and handling physical paperwork)
- Manage inbound and outbound post, coordinate with couriers, and handle errands such as taking and collecting post
- Maintain and update CRM records and trackers under the guidance of the service team
- Monitor shared mailboxes and support timely responses to administrative emails
- Keep physical and digital filing systems tidy and well-organised
- Assist with preparing application packs, document bundles, and other materials for clients
- Support the Administration Controller with bookkeeping tracking expenses, creating invoices, processing payments
- Occasionally meet clients to collect or handover documents as required for administrative support
- Help ensure a professional, friendly, and efficient office environment
Required Skills & Experience
- Previous office-based administration experience
- Strong written and spoken communication skills
- Good IT proficiency with experience using MS Office, Google Docs, online file sharing software such as Dropbox, Google Drive and CRM systems.
- Strong interpersonal skills and happy working in a small, tight-knit team in a relaxed and quiet office environment.
- Ability to prioritise tasks and meet deadlines with attention to detail and organisation.
- Full driving licence and own transport required as you will be required to make visits to the legalisation office (Hanslope Park), two days a week.
